Headcount reconciliation: why HR, Finance and position totals differ
Workforce numbers only reconcile when each source uses the same period, organizational perimeter and definition of a head. A difference between HR employee records and a position plan is not automatically an error.
Identify the five source views
Compare the people population, position ledger, authorization, organizational hierarchy and reporting perimeter before attributing a difference. Each view may include or omit vacancies, contractors, leave populations or joint-venture entities.
Work from opening to closing
For an illustrative month: opening HC 500, 12 starters, 8 leavers and 3 net transfers into scope produces ending HC 507. The same transfer may net to zero at Group level but alter country HC. Verify events before concluding that Group HC changed.
Keep unmatched items explicit
A source that reports 507 employees while a position file has 520 records may simply include 13 vacancies. If occupancy or effective-date data is missing, mark it unresolved rather than treating every position as an employee.
Use one repeatable definition
Save inclusion/exclusion rules, effective dates and accepted exceptions. Every monthly upload should be compared on the same governed reporting basis, rather than manually modifying different files until totals agree.
