WORKFORCE CONTROLLING / PRACTICAL GUIDE

How onboarding works: from first upload to a configured live workspace

Onboarding needs no IT project and no change to your HR system. You load an authorised Excel or CSV extract, check the result, and settle the client-specific settings in one place before anything is treated as official.

Start with a test drive

Sign up with your work email, no card and no password. Load the starter company to see the screens, or upload your own authorised extract. Employee names are not required for the core planning. The workspace and its data are deleted automatically after 30 days, or earlier if you delete them.

Upload and check the data

Positions, pay rules, FX rates and any versions you have go in through Excel or CSV. The checks run on upload. Anything blocked or missing stays visible in Data Quality instead of being filled with a guess, so you can correct the file and load it again.

Settle the configuration in a draft

All client-specific behaviour sits in one place: the reporting currency and rate set, the reporting perimeter (countries and legal entities), cost clusters, the closed month, remembered column mappings, workforce targets, severance formulas and the controller pack branding. Changes are made in a draft, not on the live settings.

See the effect, then try it in a test environment

An effect check compares live against the draft, for example plan cost by year or the positions left outside a changed perimeter. A test environment holds a copy of your live data with the draft applied, so you can work through the real screens. Nothing done there reaches your live workspace. The copy is taken when you create or refresh it and is not kept in step afterwards.

Promote with a sign-off

A client admin or administrator promotes the draft to live with an approver name and a note. The change is logged before and after, and the last promote can be rolled back. The Excel export and the controller pack state which configuration version they were produced with.

Roles and what comes later

Viewers see and export, editors change data on the day-to-day screens, and client admins also manage the configuration. Restructuring work and system integrations are quoted separately, and automatic connectors are not live yet: the current route is file upload.

About the examples: All numerical examples are illustrative. Actual results depend on your defined workforce population, source coverage, effective dates, pay rules and currency assumptions. Planned position detail is not proof of individual actual occupancy.
