WORKFORCE CONTROLLING / PRACTICAL GUIDE

Analyse SAP headcount exports without replacing SAP

An extract-first workforce controlling approach lets teams test a reporting model on authorized source files before considering a direct SAP or SuccessFactors integration.

Define the minimum data contract

Request only the required fields for the question: position ID, effective date, country, organization, employee type, grade, FTE and approved planning dimensions. Different SAP configurations use different field names, so mappings require confirmation with the customer.

Inspect the reporting basis

Determine whether rows represent people, positions, assignments, planned vacancies or monthly totals. Avoid converting an aggregated actual total into a fictional list of employees.

Map, validate and approve

Check identifiers, date formats, duplicates, organizational hierarchy, pay assumptions and currency coverage before analysis. Save approved mappings for repeat extracts.

Automate later when appropriate

File upload is a genuine operating route. An API or scheduled feed can later supply the same canonical model, but connector availability must be confirmed rather than assumed.

About the examples: All numerical examples are illustrative. Actual results depend on your defined workforce population, source coverage, effective dates, pay rules and currency assumptions. Planned position detail is not proof of individual actual occupancy.
