Headcount data uploads vs APIs: when to use each approach
File upload and API connectivity are two ways to feed the same workforce-control model. File upload can reduce time to first analysis; APIs can reduce repetitive work after the model and its definitions are validated.
Extract-first: the fastest validation route
Obtain authorized SAP, Oracle, Workday or Finance extracts with the necessary reporting fields. Check whether the source represents people, positions, assignments or aggregate actuals before mapping. Avoid asking for unnecessary personally identifying details.
Define a stable import contract
Capture origin system, reporting period, extract timestamp, file version, field mapping, population rules, organizational hierarchy and validation issues. Repeatable files are valuable only when their definitions stay consistent.
What automation changes
A direct API or scheduled feed can make updates more frequent and repeatable. It does not automatically reconcile HR versus Finance or decide whether a contractor belongs in employee HC. Governance rules remain essential.
Understand the enterprise constraints
Authentication, access approvals, rate limits, source-system scopes, security review and data-residency requirements affect integration timelines. An extract can often establish whether the analysis is worth automating before building the connection.
Compare the options honestly
Upload avoids an initial connector dependency but requires a human or automated file handoff. API connectivity reduces recurring exports but requires engineering and operations support. Neither route should silently overwrite approved versions.
Current HC Controller boundary
The current test route is Excel/CSV based. Automated SAP, Oracle, Workday and other connectors are product direction, not an assertion that they are already live.
